Administrative Procedure – Student Responsibility for School Owned Equipment

Student Responsibility

Each student shall be responsible for all school owned equipment issued to him/her.

School Owned Equipment

School owned equipment shall be defined as all equipment owned by the District.

Issuing Equipment

A. The designated staff member shall fill out for each student a District Equipment Issuance Form (copy attached), listing all school owned equipment issued to the student and the date of issuance. The student must sign the form.

B. At the time equipment is issued, the designated staff member shall emphasize that the equipment is the property of the school and that each student is expected to take reasonable care of the equipment. Students shall also be informed that gross abuse or negligence of school owned equipment or the loss of equipment shall result in a charge being assessed for the damaged or lost equipment.

C. A statement of student responsibility for school owned equipment shall be included in the District’s training rules.

Returning the Equipment

At a specified time, or at the end of the sport’s season for athletic equipment, each student shall return all the school owned equipment listed on the District 87 Equipment Issuance Form. On the form, the designated staff member shall list the date the equipment is returned. If all the equipment is returned
in reasonable condition, the designated staff member shall sign the bottom of the issuance form. Accounting for Damaged or Lost Equipment

A. If a student returns equipment that has been damaged through gross abuse or negligence, or equipment that reflects wear beyond reasonable usage, the student must pay the current cost of repairing the damaged equipment or replacing the worn item.

B. If a student does not return all the equipment listed on the District 87 Equipment Issuance Form, the student must pay the current replacement cost of the lost item(s). Under extraordinary circumstances, exceptions may be allowed upon the discretion of the Building Principal.

C. The designated staff member shall turn over the names and amount due to the Building Bookkeeper to whom students shall make their payments. Receipts for payment shall be given to the student and designated staff member.

D. The Building Bookkeeper shall deposit the student’s payment in the activity account. This money shall be used to purchase replacement items.

E. If a student neither returns all the equipment on the District 87 Equipment Issuance Form nor pays for equipment that is damaged or lost, the student shall be referred to the Dean of Students for resolution of the situation.

F. If a satisfactory solution cannot be achieved by the Dean of Students, the student shall not be allowed to participate in any future activities until the bill is paid or satisfactory arrangements are established with the Dean of Students. The student shall also not be eligible to receive any awards for the activity he/she participated in.

G. The designated staff member shall be responsible for notifying the student of the exact amount due, the procedure for payment, and the consequences of not paying.
