Administrative Procedure – Attendance Records
Opening Day Enrollment
A. The registrar determines part time students by the number of classes they are enrolled in. Technology Center of DuPage (TCD) students are recorded as part-time students in the school database; however, if they attend classes in the building as well asTCD, they are full-time students. Any students who are full-time students on the first day of school will remain full-time students throughout the first semester. If their status changes during the first semester, this will not be changed until the beginning of the second semester. Half-time students will be counted as such. The District must be able to verify opening day enrollment figures.
B. For opening day enrollment, the definition of a half-day student will be one in attendance less than 300 minutes. A full-time student is one in attendance 300 minutes or more.
Alternative School and Juvenile Homes
Attendance records from juvenile homes and alternative schools will be incorporated into the monthly attendance records of each building. The alternative school attendance will be handled by the District Administrative Center. The juvenile attendance records will be incorporated at the building level.
Special Education
A. All homebound students will count as half-day of attendance if the teaching session is one clock hour or more. These days of attendance are to be incorporated by the building into the monthly report.
B. District 87’s own special education students who attend classes in one of the buildings other than their home school, must have their attendance included with all other students. This is done at the attending building level. Off-campus student attendance is recorded at the District Office.
C. The Educational Service Region’s office states that separate attendance records must be kept on special education students attending District 87schools from other districts. This information is then sent to the other school districts so that these students may be included on their state aid claims.
Technology Center of DuPage (TCD)
All TCD students are included with the regular student days of attendance.
General Procedures
A. Attendance will be taken at the beginning of each period each day to allow for suspensions, half-day absences, tardiness, truancy, etc.. The final refined information shall be entered into the student management system at the end of the day. This information will then form the basis of the state aid report and also the basis of each student’s individual attendance record.
B. Students assigned in-school suspension will be counted as in attendance.
C. Reasons for students leaving school and the date must be entered in the monthly report in the student database.
D. All building and district attendance records should be retained a minimum of 5 years for state aid verification.
E. Individual student attendance records should be retained as set forth in the Illinois School Code.
A student’s attendance records shall be kept 60 years in the student’s permanent record after the student has transferred, graduated or otherwise permanently withdrawn from school.
Reporting
A. Average daily attendance (ADA) and average daily membership (ADM) data is used to report attendance on an individual student or on a date range.
B. General state aid (GSA) totals are reported monthly to the Business Office. Final totals are reported to the state at the end of the school year.
C. Enrolment/exit data is reported to Illinois State Board of Education on a bi-monthly basis.
